Privacy Policy

Remote Surveillance Ltd (“Remote Surveillance”, “we”, “us”) is a UK security management company based in Bristol, providing remote surveillance, CCTV monitoring and manned guarding services. This policy explains what personal data we collect, why, and how it's handled — including through our staff-facing apps such as Guard Companion, used by our own security guards while on shift.

Enquiries — if you get in touch through our website, by email or by phone, we collect your name, email, phone number and message so we can respond and provide a quote.

Guard Bank applicants — if you apply to join our Guard Bank, we collect SIA licensing details, screening information (to BS 7858:2019), employment history and right-to-work information.

CCTV footage — footage and related data captured by CCTV and monitoring systems we operate on behalf of clients, handled under that client's own instructions and retention requirements.

Employment & contact details — name, phone number, home address, emergency contact details, National Insurance number and bank details for payroll, held for anyone with a staff login and editable by that person for their own record. Used to run payroll, contact staff, and maintain our employment records.

Location data — while a guard is on an active shift, the app records checkpoint check-ins (with GPS) and periodic position updates (roughly every two minutes), and checks a guard is within range of a site before letting them sign on. This is how we provide a verifiable patrol record to our clients and keep track of lone workers' safety. Position pings are only collected during an active shift and are automatically deleted after 30 days.

Photos & signatures — key registration photos, checkpoint reference photos, and signatures captured on a touchscreen (visitor sign-in, key handover) are stored as part of our site compliance records.

Welfare & safety data — an SOS button and an automatic welfare-check timer record when a guard raises an alert or misses a scheduled check-in, so our control room can respond. This exists purely for lone-worker safety.

Site & client information — staff with the relevant access can view client, project and site details needed to do their job (addresses, key contacts, access instructions).

We use this data to run our security services safely and accountably: scheduling shifts, verifying patrols actually happened, responding to safety incidents, paying staff correctly, and giving clients an accurate record of the cover they're paying for. We do not sell personal data, and we do not use it for advertising or profiling.

We do not sell your data. We use a small number of service providers to run our systems, each only processing what they need to provide their service: Supabase (database and file storage), Resend (email delivery), and Google Maps and what3words (for directions and location lookups), along with trusted monitoring and AI verification partners who help deliver our security services. We don't share personal data with anyone else, except where the law requires it or to respond to a subject access request.

Employment records are kept for as long as legally required after someone leaves. Live location pings are deleted automatically after 30 days. Patrol, incident and compliance records are kept for as long as needed to meet our contractual and regulatory obligations to clients.
